These Terms & Conditions (“Terms”) govern your access to and use of the website www.haucikay.co.ke and the engagement of any catering services provided by Hauchi Kay Catering Service, a catering company registered and operating in Nairobi, Kenya. By accessing our website, submitting a booking inquiry, making a payment, or entering into a service agreement with Hauchi Kay Catering Service, you agree to be legally bound by these Terms in their entirety.

If you do not agree with any part of these Terms, you must immediately discontinue your use of our website and services and refrain from entering into any service contract with us.

Definitions

“Event”Any function, occasion, or gathering for which catering services are engaged, including but not limited to weddings, corporate events, birthday parties, funerals, graduations, religious gatherings, and private dinners
“Catering Services”All food preparation, delivery, setup, service staff, equipment hire, and related hospitality services provided by the Company
“Booking”A confirmed reservation of catering services evidenced by a signed agreement and/or paid deposit
“Deposit”The non-refundable advance payment required to secure and confirm a booking

Service Coverage

Hauchi Kay Catering Service provides professional catering services across Nairobi and surrounding counties in Kenya, including but not limited to:

  • Wedding catering – full-service buffet, plated meals, cocktail receptions
  • Corporate catering – office lunches, boardroom catering, conference catering, team event catering
  • Private event catering – birthday parties, baby showers, kitchen parties, graduation parties
  • Funeral catering – respectful and dignified catering for bereavement gatherings
  • Religious event catering – church functions, fundraising dinners, fellowship catering
  • Outdoor and garden event catering
  • Drop-off catering and meal delivery for private clients

Service availability beyond Nairobi is subject to prior written agreement, additional logistics fees, and confirmation of our operational capacity on the requested date.

Bookings and Confirmation

  1. All bookings must be initiated via our official inquiry form, email, or phone call.
  2. A booking is only confirmed upon receipt of a signed service agreement AND the required deposit payment. Verbal commitments do not constitute a confirmed booking.
  3. Hauchi Kay Catering Service reserves the right to decline any booking at its sole discretion without obligation to provide reasons.
  4. Booking confirmation will be issued in writing (email or physical letter) within 48 hours of deposit receipt.
  5. Clients are responsible for ensuring that all event details provided at booking – including date, time, venue address, guest count, and dietary requirements — are accurate and complete.
  6. Any changes to confirmed booking details must be submitted in writing no later than 14 days before the event date. Late changes may incur additional charges.

Hauchi Kay Catering Service does not extend credit facilities. The Company reserves the right to withhold services, cancel a booking, or recall deployed staff where payment obligations are not met within the prescribed timelines. Any payments received will be applied in order of oldest outstanding balance first.

Client Responsibilities

The Client is solely responsible for:

  • Providing accurate venue access information, including security clearances, parking, and loading bay details, at least 5 days before the event
  • Securing all necessary permits and approvals required at the event venue for food service and public assembly
  • Ensuring adequate power supply, water access, and appropriate preparation space at the venue as agreed in the service specifications
  • Communicating all dietary requirements, allergies, and religious food restrictions in writing no later than 14 days before the event
  • Ensuring the venue is accessible to our team at the agreed setup time
  • The conduct of guests and other vendors at the event

Company Responsibilities

Hauchi Kay Catering Service commits to:

  • Delivering all agreed catering services as specified in the signed service agreement
  • Ensuring all food is prepared under strict hygiene standards compliant with the Kenya Food, Drugs and Chemical Substances Act
  • Deploying adequately trained and uniformed service staff
  • Maintaining all necessary food handling certifications and health compliance documentation
  • Communicating proactively with the client in the event of any logistical challenge

Force Majeure

Hauchi Kay Catering Service shall not be liable for failure to perform or delay in performance of any obligations arising from circumstances beyond its reasonable control, including but not limited to: natural disasters, floods, fire, civil unrest, government-imposed lockdowns, pandemics, fuel shortages, supplier failures, or acts of God. In such cases, we will notify the Client as soon as practicable and endeavour to propose alternative arrangements.

Limitation of Liability

To the maximum extent permitted by Kenyan law, Hauchi Kay Catering Service’s total liability to any Client arising from any single event booking shall not exceed the total amount paid by the Client for that specific booking. We shall not be liable for any indirect, consequential, special, or punitive damages, including lost profits, emotional distress, or reputational harm.

Intellectual Property

All content on www.haucikay.co.ke, including but not limited to text, photographs, menus, branding, logos, videos, and graphic designs, is the exclusive intellectual property of Hauchi Kay Catering Service. Reproduction, distribution, or use of any such content without prior written consent is strictly prohibited and may result in legal action.

Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the Republic of Kenya. Any dispute arising from or related to these Terms or any catering service agreement shall first be subject to good-faith negotiation. Failing resolution within 30 days, disputes shall be referred to mediation before submission to the courts of Kenya.
