Special Policies – Read Before You Engage

At Hauchi Kay Catering Service, we operate under a strict, clearly defined framework of client policies. These policies exist to protect both our clients and our business, to maintain the highest standards of service delivery, and to ensure total transparency in every engagement.

ALL CLIENTS ARE REQUIRED TO READ, UNDERSTAND, AND ADHERE TO THESE POLICIES WITHOUT EXCEPTION. Ignorance of these policies does not constitute grounds for exemption from their enforcement.

Mandatory Client Compliance

The following policies are binding on all clients from the point of engagement. Non-compliance will result in immediate action as outlined below.

1.  BOOKING & RESERVATION POLICY

All service engagements must be formally confirmed via a signed service agreement and a mandatory non-refundable booking deposit of a minimum of 50% of the total quoted amount. No event date shall be considered reserved or secured until this deposit has been received and confirmed in writing by Hauchi Kay Catering Service. We do not hold dates on verbal commitments, goodwill, or informal requests. First come, first confirmed, absolutely no exceptions.

2.  PAYMENT POLICY

The full outstanding balance must be settled no later than 72 hours prior to the event date. Hauchi Kay Catering Service reserves the absolute right to withhold services, decline deployment of staff, and cancel service agreements where full payment has not been received within this stipulated timeframe. We do not negotiate payment timelines on the day of an event. Clients who arrive at their event expecting services without having settled outstanding balances will be turned away. All payments must be made via the officially approved payment channels provided during the booking process.

3.  CANCELLATION & REFUND POLICY

Cancellations must be communicated in writing via the official company email at support@eventscatering.co.ke. Cancellations made 14 days or more before the event date shall result in forfeiture of the booking deposit only. Cancellations made within 7 to 13 days of the event shall result in forfeiture of 75% of the total quoted amount. Cancellations made within 72 hours of the event, or on the event day itself, shall result in full forfeiture of all payments made. No exceptions will be considered under any circumstance.

⚠  Deposits are strictly non-refundable regardless of the reason for cancellation.

4.  MENU CHANGES & FINAL HEADCOUNT POLICY

All final menu selections and confirmed guest headcounts must be submitted to us no later than 5 business days before the event date. Changes requested after this deadline cannot be guaranteed and will be accommodated solely at the discretion of our culinary team. Increases in headcount submitted within 48 hours of the event will attract a mandatory surcharge and are subject to availability. Reductions in headcount submitted within the final 5 business days will not result in any reduction of the quoted price.

5.  CONDUCT & CLIENT RESPECT POLICY

Hauchi Kay Catering Service maintains an absolute zero-tolerance policy towards any form of verbal abuse, intimidation, harassment, or disrespectful conduct directed at any member of our staff. Our team are trained professionals who are to be treated with dignity and respect at all times. Any client or guest who engages in abusive or threatening behavior towards our personnel shall result in the immediate withdrawal of our services from the event, with no refund issued.

6.  VENUE ACCESS & SETUP REQUIREMENTS POLICY

Clients are required to ensure that our catering team is granted unrestricted access to the venue no less than 3 hours prior to the scheduled commencement of the event. This access is essential for safe and thorough setup, equipment deployment, food preparation staging, and quality checks. Where access is delayed due to the client’s failure to arrange timely venue entry, Hauchi Kay Catering Service accepts no liability for delays in service delivery.

7.  DIETARY & ALLERGEN DISCLOSURE POLICY

It is the sole responsibility of the client to disclose, in writing and no later than 7 business days before the event, any and all dietary restrictions, food allergies, religious food requirements, or special nutritional needs applicable to their guests. Hauchi Kay Catering Service will make every reasonable effort to accommodate disclosed requirements. However, we accept no liability for any adverse health outcomes arising from information that was not disclosed within the stipulated timeframe or was communicated verbally rather than in writing.

8.  INTELLECTUAL PROPERTY & PHOTOGRAPHY POLICY

Hauchi Kay Catering Service reserves the right to photograph food presentations, setups, and events for use in our official marketing materials, website, and social media platforms, unless the client explicitly objects in writing during the booking process. Photographs taken by our team remain the intellectual property of Hauchi Kay Catering Service.

9.  DISPUTE RESOLUTION POLICY

Any disputes arising from service delivery must be formally submitted in writing to support@eventscatering.co.ke within 48 hours of the conclusion of the event. Disputes raised beyond this window will not be entertained. Hauchi Kay Catering Service commits to reviewing all valid, timely complaints within 5 business days. We do not respond to disputes made through social media, third-party platforms, or informal channels. All matters unresolvable through direct communication shall be subject to Kenyan law and resolved in the jurisdiction of Nairobi County Courts.

10.  FORCE MAJEURE POLICE

Hauchi Kay Catering Service shall not be held liable for any failure or delay in service delivery caused by circumstances beyond our reasonable control, including but not limited to natural disasters, government-imposed restrictions, civil unrest, or sudden unforeseen supply chain failures. In such events, we shall communicate promptly with affected clients and make all commercially reasonable efforts to reschedule or provide alternative arrangements.

11.  FOOD SAFETY & HYGIENE POLICY KENYA

Hauchi Kay Catering Service operates in strict compliance with the Kenya Bureau of Standards (KEBS) food safety regulations and the Public Health Act (Cap. 242). All food preparation, handling, storage, and transportation is conducted under rigorously controlled conditions by certified food handlers. Our kitchens and equipment are subject to routine sanitation inspections, and all staff involved in food preparation hold valid food handler certificates issued by the relevant Kenyan health authorities. We maintain a zero-tolerance policy for any compromise in food safety standards.

Cold chain management is strictly enforced for all perishable items, and no food shall be transported or stored at temperatures outside the required safety thresholds. Clients are strictly prohibited from interfering with, augmenting, or adulterating any food prepared by our team. Any food sourced externally by the client and introduced to our service environment absolves Hauchi Kay Catering Service of all liability for food safety outcomes. In the event that our food safety officers identify conditions at a venue that pose a risk to food safety, including inadequate refrigeration facilities, pest activity, or unsanitary environments we reserve the absolute right to suspend or terminate service delivery without refund.

13.  EVENT CATERING TERMS OF AGREEMENT

By engaging Hauchi Kay Catering Service, whether through a signed service agreement, payment of a booking deposit, or written confirmation via email, the client unconditionally accepts and agrees to be bound by all terms, conditions, and policies set forth by Hauchi Kay Catering Service, including but not limited to the policies contained herein. This agreement constitutes a legally binding contract between the client and Hauchi Kay Catering Service under the laws of Kenya. The client acknowledges that they have read, understood, and accepted all stated policies without reservation.

Hauchi Kay Catering Service reserves the right to amend these terms at any time, with updated terms published on our official website at eventscatering.co.ke. It is the client’s responsibility to review the current terms prior to each engagement. No verbal agreement, verbal modification, or undocumented instruction shall be considered binding on Hauchi Kay Catering Service. All amendments, additions, or special arrangements must be confirmed in writing and countersigned by an authorized representative of Hauchi Kay Catering Service.

In the event of any conflict between verbal communications and written agreements, the written agreement shall prevail without exception. Hauchi Kay Catering Service’s total liability to any client shall not exceed the total value of fees paid for the specific service engagement in dispute. We shall not be liable for any indirect, incidental, or consequential losses including but not limited to loss of enjoyment, reputational damage, or third-party claims arising from the client’s event.
