Hauchi Kay Catering Service Company provides professional on-site catering delivery and setup services for all manner of events across Kenya, including wedding catering, corporate catering, birthday event catering, funeral reception catering, private dining, cocktail events, school and institutional catering, and government function catering. Hauchi Kay Catering Delivery & Setup Policy Kenya Policy governs all logistical arrangements and defines clearly the responsibilities of both Hauchi Kay and the client.

Hauchi Kay is committed to arriving at every event fully equipped, on schedule, and prepared to deliver a premium catering experience. To achieve this consistently, strict compliance with the terms outlined herein is required from all clients.

All delivery surcharges are subject to review and may change based on fuel costs, road conditions, and event-specific logistics. The applicable surcharge will be clearly stated in the client’s formal catering quotation.

Delivery Timelines & Access Requirements

Hauchi Kay requires guaranteed access to the event venue for setup purposes as follows:

The client is solely responsible for ensuring that site access is available within these time windows. Failure to provide timely access will result in a delayed service commencement for which Hauchi Kay bears no liability. If delayed access results in Hauchi Kay staff waiting on-site for more than 45 minutes beyond the agreed access time, a standby charge of KES 3,000 per hour per team member shall apply.

Setup Responsibilities

Hauchi Kay’s standard delivery and setup service includes the following, unless otherwise specified in writing:

Transportation of all food, beverages, equipment, and serving supplies to the event venue; setup of buffet tables, chafing dishes, serving stations, and food display arrangements; provision of serving staff for the agreed service period; breakdown, cleaning, and removal of all Hauchi Kay equipment at the conclusion of the service; and appropriate waste disposal in accordance with the Environmental Management and Coordination Act (EMCA), Cap. 387 of the Laws of Kenya.

Client Responsibilities at the Venue

The client is required to ensure the following at the event venue prior to Hauchi Kay’s arrival:

Provision of adequate table space and clear floor area for setup as specified in the catering brief; access to a power supply (minimum 13-amp sockets) for chafing equipment and warming appliances where required; access to clean running water for food preparation and hygiene purposes; a secure, covered area for food storage and preparation if a kitchen facility is unavailable; and a named on-site event contact person who is reachable throughout the setup and service period.

Hauchi Kay shall not be held liable for service quality issues arising from inadequate venue facilities that were not disclosed at the time of booking.

Equipment Responsibility & Damage

All equipment delivered by Hauchi Kay to an event venue, including but not limited to chafing dishes, serving trays, cutlery, glassware, linen, and food warmers, remains the property of Hauchi Kay at all times. The client accepts full financial liability for any loss, damage, or destruction of Hauchi Kay equipment occurring during the event.

Replacement costs for damaged or lost equipment shall be charged at market replacement value. An equipment security deposit may be required for large events and will be refunded within 7 business days following the event, subject to a full equipment check.

Client liability for damage to Hauchi Kay property during an event is grounded in the Law of Tort and the provisions of the Occupiers’ Liability Act (Cap. 34) of Kenya, as well as general principles of negligence under common law as applied in Kenya.

Food Safety During Delivery

All food items transported by Hauchi Kay are maintained at safe temperatures throughout transit in compliance with the Kenya Bureau of Standards (KEBS) standards for food safety and the Public Health Act (Cap. 242). Hot food is transported in insulated containers maintaining temperatures above 63°C, and cold food is maintained at or below 5°C. Hauchi Kay reserves the right to decline to serve food items that have been compromised during transit due to client-caused delays.

Force Majeure – Delivery

In circumstances where delivery is impeded by traffic incidents, road closures, vehicle breakdown, or natural events beyond Hauchi Kay’s control, we will notify the client immediately and deploy all available contingency measures to fulfil the delivery obligation. Hauchi Kay shall not be held liable for consequential losses arising from delivery delays caused by force majeure events.
