Governing all transportation activities for catering, event, and private food service operations across Kenya. Read carefully, by booking with Hauchi Kay, you accept these terms in full.

What This Disclaimer Covers

Hauchi Kay Catering Service Company is a professionally registered catering enterprise operating throughout the Republic of Kenya, providing wedding, corporate, private party, baby & bridal shower, kids birthday, outdoor, buffet, and private chef services.

The transportation of food, equipment, serving ware, kitchen apparatus, hot boxes, chafing equipment, staff, and all associated catering materials is an integral and unavoidable component of our operations. This Disclaimer defines, with absolute clarity and legal precision, the scope of our transportation responsibilities, boundaries of liability, and the conditions under which charges are applied.

Transportation Services We Provide

All transportation activities conducted by or on behalf of Hauchi Kay in connection with catering operations across Kenya are governed by this policy.

Food Delivery

Freshly prepared meals transported in food-grade, temperature-controlled containers and hot boxes from our preparation kitchen to your event venue. Hot food at 60°C+, cold items at 5°C or below.

Equipment Transport

All catering equipment including chafing dishes, serving stations, gazebos, tables, linen, crockery, cutlery, glassware, mobile kitchen setups, and generators, delivered and retrieved.

Staff Deployment

Qualified chefs, service attendants, kitchen support staff, and supervisors transported to the event venue and returned thereafter. Per-person surcharges apply per zone.

Equipment Retrieval

Collection and return of all Company-owned equipment, serving ware, and materials following conclusion of each catering event. Return journey fees apply per zone.

Emergency Re-supply

Where additional food, consumables, or equipment is required during an active event, the Company may arrange urgent supplementary transportation at applicable emergency rates.

Generator & Power

Portable power units transported to remote or outdoor venues without reliable electricity supply. Generator transportation charges apply per event across applicable zones.

We maintain a dedicated transportation infrastructure and work with vetted transport providers to ensure the safe and timely delivery of all catering services.

  • Food-grade insulated hot boxes maintaining 60°C+ throughout the journey
  • Refrigerated containers keeping cold items at or below 5°C
  • Commercial vehicle insurance per NTSA regulations (Cap. 404)
  • All food handlers hold valid food handler certificates as required by Kenyan law

Transport Zones & Fee Overview

All transportation costs are calculated based on distance, volume of goods, staff deployed, duration, road conditions, and prevailing fuel costs. All figures in KES.

  • Base delivery: KES 3,500 to 6,000 per trip
  • Return journey: KES 2,500 to 4,500
  • Staff surcharge: KES 500 to 800/person
  • Hot box & chafing: KES 1,500 to 3,000
  • Mobile kitchen: KES 8,000 to 15,000
  • Emergency re-supply: KES 4,000 to 8,000
  • Fuel surcharge: KES 500 to 1,500 (if applicable)
  • Base delivery: KES 6,000 to 12,000 per trip
  • Return journey: KES 5,000 to 9,500
  • Staff deployment: KES 800 to 1,200/person
  • Hot box & food safety: KES 2,000 to 4,500
  • Generator: KES 5,000 to 10,000
  • Mobile kitchen: KES 12,000 to 22,000
  • Overnight accommodation: KES 3,000 to 6,000/staff
  • Emergency re-supply: KES 6,000 to 12,000
  • Long-distance delivery: KES 15,000 to 40,000
  • Return journey: KES 12,000 to 35,000
  • Staff travel allowances: KES 2,000 to 3,500
  • Refrigerated transport: KES 8,000 to 18,000
  • Staff accommodation: KES 4,500 to 9,000/night
  • Per diem allowance: KES 1,500 to 3,000/day
  • Mobile kitchen: KES 20,000 to 45,000
  • Generator: KES 10,000 to 20,000
  • Road toll & clearance: KES 1,000 to 5,000

IMPORTANT: All transportation costs are estimates only. Final transportation fees are itemised in the Client's official service quotation and must be agreed in writing before service commencement. Transportation fees are non-negotiable and non-refundable once vehicles, staff, or equipment have been dispatched.

Itemised Transport Cost Breakdown

Comprehensive budget schedule for all catering transportation categories. All figures in Kenyan Shillings (KES) and constitute estimates only.

Transportation Fee Payment Conditions

The following payment conditions apply strictly to all transportation fees charged by Hauchi Kay Catering Service Company.

Transportation fees are due and payable in full at the same time as the total catering service balance, unless otherwise stipulated in the Client's signed service agreement.

A non-refundable transportation deposit of not less than 50% of the agreed fee is required at booking confirmation for all Zone B or Zone C events.

Transportation fees are NOT included in base catering package prices unless explicitly stated in writing on the Client's official quotation document.

Emergency re-supply runs requested during an active event shall be charged at the applicable emergency rate and billed separately from the main invoice.

Late payment beyond 7 days of the invoice date attracts a surcharge of 3% per month on the outstanding balance.

All transportation fees are subject to applicable taxes including Value Added Tax (VAT) at the prevailing rate as mandated by the Kenya Revenue Authority (KRA).

Note on Venue/Date Changes: Any changes to the delivery venue, access route, event date, or service times that materially affect transportation logistics after booking confirmation may attract additional transportation charges, which the Client is obligated to settle prior to service delivery.

Food Safety During Transportation

Hauchi Kay strictly adheres to the Kenya Bureau of Standards (KEBS), Ministry of Health food hygiene regulations, and applicable county government public health directives.

  • All hot food transported in insulated hot boxes maintaining minimum 60°C (140°F)
  • Cold & perishable items maintained at maximum 5°C (41°F) in refrigerated containers
  • All food containers are sealed, labelled, and secured per food hygiene standards
  • Transport vehicles are clean, maintained, and free from contaminating substances
  • All food handlers hold valid food handler certificates as required by Kenyan law

LIABILITY LIMITATION AFTER DELIVERY: The Company's food safety obligations terminate absolutely at the moment of delivery to the Client or designated venue representative. The Client assumes full and sole responsibility for storage, handling, serving temperature, and consumption from the point of handover. The Company bears zero liability for foodborne illness occurring after delivery.

Circumstances Beyond Our Control

The Company shall not be held liable for delays in transportation caused by the following Force Majeure circumstances. No refund or compensation shall be due on account of these events.

Road closures, road works, bridge failures, diversions ordered by KURA or county authorities.

Accidents, roadblocks, traffic congestion beyond reasonably foreseeable levels on Nairobi and upcountry roads.

Heavy rainfall, flash flooding, mudslides, and road impassability due to weather conditions.

Protests, demonstrations, elections-related disruptions, police operations, or curfews.

National or regional fuel shortages affecting vehicle operation. Government fuel rationing or movement restrictions.

Unexpected vehicle failure despite proper maintenance. Third-party logistics provider failure despite vetting.

Venue Access Requirements

The Client is wholly responsible for ensuring the event venue is accessible to Company vehicles. The following requirements must be confirmed no later than 72 hours before the event.

Cancellation & Refund Terms

The following terms apply strictly to the transportation component of all catering bookings. Clients are strongly advised to secure event insurance.

STRICT ENFORCEMENT: The Company's cancellation and refund terms are enforced without exception. The Company's financial commitments to drivers, fuel, and logistics providers are incurred from the point of booking confirmation and cannot be reversed. Clients are advised to secure event insurance to cover cancellation losses.
